Sending an invitation, what the recipient gets, and why invitations expire so quickly.

Nobody joins your firm’s portal on their own. Every account past the first one arrives through an invitation you send.

Send an invitation

  1. Open Users and press Invite User.
  2. Enter the email address.
  3. Choose the role — client or CPA. This decides what they can do once they are in, and they cannot change it on the way; see Understanding user roles and permissions.
  4. Send it.

The invitation appears in your pending list until it is accepted, expires or you cancel it.

What they receive

An email with a link that works once and expires within a day. Following it asks them for a name and a password; their email address is fixed to the one you invited. Then they are in, on the dashboard.

Unused invitations are cleared on a schedule, and an expired link is refused even if somebody finds it in a forwarded email months later. That short life is the point: an invitation is a key to your firm’s portal sitting in an inbox.

When an invitation expires

Send another. It is one press from Users, and it is the correct answer every time — there is no way to extend a link that has already been issued, by design.

Before you invite a client

Give the portal something to show them. A client who signs in to an empty account frequently does not sign in twice. Assign a document, or send a message asking for what you need. See Document assignments.

Cancelling

Cancel a pending invitation from Users if it went to the wrong address. Cancelling stops the link working immediately, which matters when the wrong address belongs to a real person.
