Document editing and annotations

Pertavo has its own PDF editor, so a form that needs a date and a signature does not have to be downloaded, marked up in another application and uploaded again.

Opening the editor

From Documents, use the edit action on any PDF. The document opens with a toolbar along the top and the page below it.

What you can add

• Text — a text box placed anywhere on the page, for filling in a form or adding a note.
• Date — a date field, so the format is consistent rather than handwritten differently by everyone.
• Image — a logo, a scan, or a photographed page. You can keep the aspect ratio while resizing, or set the size explicitly.
• Stamp — a mark applied to the page, for the labels your firm puts on documents as a matter of routine.
• Signature — your own signature, drawn, typed or uploaded.

Everything you place can be moved and resized after it is placed. Press an existing element to edit it rather than deleting and starting again.

Saving

Save writes the changes back to the document in the portal. Download gives you the edited file on your own machine without changing what the portal holds — useful when you want a marked-up copy for yourself but the filed version should stay clean.

Who can edit

Editing needs edit access: your own firm’s documents if you are a CPA or admin, or a document shared with you at the Edit level. Somebody with view or download access sees the document but not the editing tools. See Document permissions and sharing.

Editing versus signing

Placing your own signature on a page is editing. Asking somebody else to sign is a signature request, which tracks who has signed and who has not, and is the right tool whenever the other party is the one who has to sign. See Digital signatures.
