Digital signatures
Requesting a signature on a PDF, the three ways a signer can sign, and how to tell where a request has got to.

Signatures happen inside the portal, on a PDF you already hold. Nothing is emailed out to a third-party signing service and nothing comes back as an attachment.
Request a signature
- Open the PDF in the document editor.
- Press Request signatures.
- Add the signers and place a signature field on the page for each of them, where you want them to sign.
- Send the request.
Each signer gets a notification, and the document’s status becomes Pending Signature until every signer has acted.
How a signer signs
A signer opens the document and provides a signature in one of three ways:
- Drawn — with a finger on a phone or a trackpad, in the signature box.
- Typed — their name, rendered in a signature face.
- Uploaded — an image of an existing signature.
They can also decline, which stops the request and tells you so rather than leaving it to time out silently.
Tracking a request
A request is in one of four states: pending while anybody is still to sign, completed when all signers have signed, declined if a signer refuses, or expired if it runs out of time. Individual signers carry their own pending / signed / declined state, so on a two-signer document you can see which of the two you are waiting for.
Filter Documents by the Pending Signature status to see everything currently waiting.
Chasing a signature
The useful move is usually not another notification but a message. Open Messages, write to the signer, and the request is right there in their portal when they read it. See Messaging and communication.
After it is signed
The completed document keeps the signatures on the page and can be downloaded as an ordinary PDF like anything else. See Download and export options.

Sign in and write to us from Help & Support inside the portal — a message from there arrives with your firm and your account already attached, so nobody has to ask you which is which.
